π° Financial Management & Collections
The Finance module of the SERA platform centralizes all financial flows generated by ticket sales and the freight service. It guarantees total traceability of transactions from the counter up to accounting consolidation at management level.
1. π³ Collection Flows and Payment Methods
The platform manages multi-channel transactions to secure and speed up revenue processing:
| Payment Method | Description | Validation & Security |
|---|---|---|
Cash (Counter) |
Direct collection performed by the counter agent during booking. |
Requires an open cash session and is subject to a daily count. |
Mobile Money |
Remote payment (Orange Money, Mvola, Airtel Money) made online or at the counter. |
Instant validation via secure banking API with automatic SMS confirmation. |
Corporate Accounts / Vouchers |
Payment on invoice or purchase order for institutional customers. |
Subject to a credit limit and validated by the financial manager. |
2. π Cash Register Management and Daily Closing
To avoid any financial inconsistency and prevent fraud risks, SERA applies a strict authorization protocol for each work session:
2.1. 1. Opening the Cash Register
At the start of each shift, the counter agent must declare their initial cash float. No transaction can be executed until the session is open.
2.2. 2. Real-Time Tracking
The system immutably records every collection, linked to the unique ID of the agent and the point of sale.
2.3. 3. Closing and Reconciliation
At the end of each shift or work day: . The agent performs a physical count. . The system compares the amount entered with the theoretical balance calculated by SERA. . In case of a discrepancy (shortfall or surplus), a justification must be entered and submitted to the accounting supervisor for validation.
|
Once validated by the supervisor, the cash closing locks all transactions for the period. No manual retroactive change is possible. |
3. π Financial Reports and Exports
The module allows financial managers to extract precise analytical reports for accounting purposes:
-
Revenue journal: Detailed view of all collections broken down by payment method and cooperative.
-
Trip statement: Financial summary associated with a specific line or vehicle (ticket revenue + parcel commission).
-
Accounting export: Generation of pre-configured data files (CSV, Excel, PDF) for integration into your third-party accounting software.
