πŸ›‘οΈ Setting Up Administrator and Cooperative Accounts

The Administrator account is the core of managing your business on the SERA platform. Specifically designed for cooperative leaders and fleet managers, this high-privilege space gives you global control over your logistics and commercial operations.

From this centralized dashboard, you secure your revenue, oversee the configuration of your counter terminals, assign your vehicles to the various transport lines and control your field staff’s permissions.

1. 🏒 1. Activating the Cooperative / Business Space

Your business infrastructure is initialized when you officially join the platform.

1.1. Initial Access Activation

  1. After signing your contract, an official activation email containing a unique, secure access link is sent to your management’s address.

  2. Click this link to be redirected to the setup interface for your administration space.

  3. Set the main password for your Super Administrator account.

1.2. Configuring the Cooperative Profile

On your first login, go to the Company Settings menu to complete your institutional identity:

  • Legal name: Enter the official name of your transport cooperative or company.

  • Company logo: Upload your logo in PNG or JPG format via the Upload logo import module. This logo will automatically be applied and formatted on thermal receipts and electronic tickets generated for your customers.

  • Tax ID: Enter your official tax identification numbers for compliance of your receipts and transport documents.

  • Head office: Register the address of your main office along with management’s phone contacts.

2. πŸ‘₯ 2. Creating and Assigning Agent Profiles (Counter Management)

To effectively delegate station work while protecting your financial data, you must create individual access for each of your staff members.

  1. Access staff management

    • Log in to your Administrator space.

    • In the left navigation menu, click Administration icon Admin panel, then select the Users & Staff submenu.

  2. Defining and assigning roles

    • Click the New User button to open the digital hiring form.

    • Enter the employee’s First name, Last name and National ID.

    • Assign them a strict role from the privileges dropdown. The platform applies the principle of least privilege to segment your activities:

      • Sales Counter Agent: Limited access to the seat map, payment collection and ticket printing for their assignment. Cannot change prices or cancel a road sheet.

      • Line Supervisor: Authorized to change vehicle assignments, assign drivers and validate official road sheets.

      • Accountant: Exclusive access to financial dashboards, revenue charts and accounting data exports.

  3. Securing initial access

    • Submit the form. The application automatically generates a unique username (based on the firstname.lastname format) and a temporary password.

    • Hand these credentials to your staff member. On their very first login at the counter, the application will require them to change this temporary password to a personal, secret code before they can make their first sale.

3. πŸ”’ 3. Security and Audit Best Practices

Managing a transport network involves continuous financial flows. To ensure the integrity of your accounting, strictly follow these security guidelines:

  • Strictly personal use: Never share an Administrator account’s credentials. If several people manage leadership, create as many separate accounts with the 'Admin' role as needed.

  • Managing staff departures: In case of resignation or reassignment of a counter agent, immediately log in to the admin panel to suspend their account.

  • Session closure (End of shift): Train your agents to systematically use the logout button whenever they step away from their terminal or at the end of their counter shift to prevent any fraudulent operation under their name.

Absolute Traceability & Accounting Audit

Every interaction with the SERA platform β€” whether it’s selling a ticket, canceling a booking, changing a fare, or collecting revenue β€” is systematically logged, timestamped and linked to the user ID who validated the action.

This audit data is tamper-proof and can be consulted at any time by management from the cash history module to guarantee total financial transparency and eliminate the risk of cash discrepancies at your stations.
